The Role
As a Patient Care Liaison at My Psychiatrist Oakland Park, you will support the daily operations of a growing physician-led mental health practice serving patients across psychiatry, therapy, psychological testing, TMS & neuromodulation, and specialty behavioral health services.
You will work closely with:
- Psychiatrists
- Psychiatric Nurse Practitioners
- Therapists
- Psychologists
- TMS providers
- Medical Assistants
- Practice Leadership
- Contact Center teams
Your work directly supports:
- Patient retention
- Provider schedule optimization
- Appointment readiness
- Continuity of care
- Front-office operations
- Patient engagement
What You’ll Own
Patient Experience & Front-Office Coordination
- Welcome and assist patients, visitors, and providers with professionalism and warmth
- Create a calm, organized, and welcoming office environment
- Manage patient check-in and check-out workflows accurately
- Verify demographics, insurance information, consent forms, and patient documentation
- Ensure patients feel supported, informed, and cared for throughout their visit
Scheduling & Provider Utilization
- Manage appointment scheduling and follow-up appointments based on treatment plans
- Maintain provider schedule accuracy and appointment integrity
- Identify and resolve scheduling discrepancies
- Support provider utilization through proactive schedule management
- Minimize scheduling gaps and barriers to patient access
- Take ownership of assigned provider schedules
Pre-Visit Planning & Appointment Readiness
- Complete Pre-Visit Planning (PVP) requirements within established timelines
- Confirm appointments at least 48 hours prior to scheduled visits
- Utilize:
- Curogram
- Telephone outreach
- Approved communication platforms
- Verify patient readiness and appointment details
- Identify and resolve attendance barriers before they become missed appointments
Patient Communication & Retention
- Conduct outbound communication with patients regarding upcoming appointments
- Perform cancellation and no-show recapture outreach
- Reschedule cancelled appointments whenever possible
- Support continuity of care through proactive patient engagement
- Document all communication efforts accurately and completely
Documentation, Compliance & Workflow Support
- Accurately document:
- Patient interactions
- Appointment activity
- Scheduling changes
- Communication attempts
- Patient concerns
- Maintain scheduling accuracy and documentation standards
- Ensure HIPAA compliance and patient confidentiality at all times
- Escalate urgent patient concerns appropriately
Financial & Administrative Support
- Collect copayments, deductibles, coinsurance amounts, and patient balances
- Verify insurance eligibility and patient registration information
- Ensure accurate documentation within the EHR system
- Support front-end revenue cycle integrity through accurate registration processes
Non-Negotiable Requirements
Required
- Minimum 1 year of experience in:
- Healthcare administration
- Patient access
- Medical office operations
- Front desk operations
- Customer service
- Strong communication and interpersonal skills
- Exceptional customer service mindset
- Strong organizational and multitasking abilities
- Professional telephone etiquette
- High attention to detail
- Experience with EHR systems and scheduling workflows
- Ability to prioritize competing responsibilities effectively
Preferred
- Behavioral health experience
- Experience with:
- Tebra
- Curogram
- RingCentral
- Bilingual English & Spanish
- Associate’s or Bachelor’s degree in Healthcare Administration or related field
